PlayVista is operated by Vurtech Technologies Ltd (“PlayVista”, “we”, “us”, or “our”). Our registered office is in London, United Kingdom (WC2H 9JQ). Unless stated otherwise, we act as the data controller for the processing described in this policy.

Who we share your information with and where are they?

Your personal information may be shared with trusted third-party service providers who process it on our behalf for the purposes described in this policy. We select providers we believe handle data responsibly and in line with applicable privacy laws; each provider operates under its own privacy policy and terms. We will never sell your personal data.

Where we use a third-party service provider, your data is processed according to that provider's privacy policy as well as this one. We remain responsible for our use of personal data as the data controller under applicable law.

  • Cloud hosting and storage provider — hosts the website, application, and uploaded content. Primary region: United Kingdom.
  • Payment provider — processes payments and manages subscriptions. We never see or store your card number. Region: US/EU.

  • Product analytics and session-replay providers — help us understand and improve product usage. Form inputs are masked. Region: EU.

How long do we keep your information?

  • Uploaded videos and derived analysis — until you delete them or close your account, then routinely removed from primary storage with backups rotated out.
  • Chat history and product analytics — on a rolling basis to support the service and product improvement.
  • Payment and tax records — as required by UK law (currently six years).

We do not retain personal data longer than necessary for the purpose collected, subject to legal minimums.

PlayBase customers

This section applies to users of dashboard.playvista.ai.

Who is my data controller?

For your account data and dashboard use, PlayVista is your controller.

For video footage of third parties (players, coaches, officials, spectators), you are the controller and PlayVista acts as processor on your behalf. You are responsible for having a lawful basis to upload that footage.

What personal data do we collect?

  • Identity Data — name, email, optional profile picture, phone, timezone.
  • Contact Data — email and optional phone.
  • Account Data — hashed password, verification status, login history, onboarding responses.
  • Payment Data — billing identifiers; card numbers handled by our payment provider.
  • Video Data — uploaded videos and metadata (teams, scores, venue, dates, etc.). Stored in the UK.
  • Chat Data — assistant prompts, responses, and session metadata.
  • Observed Data — IP, device, browser, feature use, session recordings (inputs masked).

Automated processing

PlayBase automatically processes submitted data to generate analysis, insights, and chat responses using artificial intelligence and machine learning, including identifying match events, summarising data, and responding to assistant messages grounded in your data.

This relies on trusted third-party AI providers subject to their privacy policies and terms. Contact support@playvista.ai to ask about the logic involved or to object to specific processing. Some processing is required to deliver the service.

Individuals visible in uploaded footage

This section applies to people who appear in videos uploaded by PlayBase customers.

Who is my data controller?

The customer who uploaded the footage is your controller. PlayVista processes footage only as their processor to provide the requested analysis.

To access, correct, restrict, or delete footage of yourself, contact the uploading customer first. You may also email support@playvista.ai and we will route your request.

What personal data do we collect?

  • Video Data — your image, likeness, and on-field behaviour.
  • Derived Data — event tags and summaries from automated analysis.

We do not collect your contact details unless the customer provides them as metadata. We do not use facial recognition to identify individuals.

Children

Footage may include minors. Uploading customers are responsible for required consents and safeguarding approvals. We do not knowingly create accounts for users under 13 (or higher age where required by local law).

Information we do not collect

  • We do not intentionally collect special-category data (health, religion, political opinions, etc.).
  • We do not generate biometric identifiers or use facial recognition to identify individuals from footage.
  • We do not knowingly collect personal data from children under 13.
